Introduction

This Modern Slavery and Illegal Workers Policy relates to actions and activities during the current year and shall be reviewed within 1 year of it's issue.

This policy sets down N4 Gas Limited’s commitment to preventing slavery, human trafficking and illegal workers in our business activities and the steps we have put in place with the aim of ensuring that there is no slavery, human trafficking or illegal workers in our own business and supply chains.

We all have a duty to be alert to risks, however small and due to our business operations and activities we appreciate that we are also in an opportune position to help disrupt modern slavery operations and alert authorities of suspicious behaviours.  All of our staff are expected to report their concerns to our management team for us to act appropriately upon the concerns.


Organisational Structure and supply chains

This statement covers the business activities of N4 Gas Limited which are as follows:

We provide gas, heating and hot water installation and maintenance services.

We only operate in the United Kingdom.

We operate inside residential homes and businesses that may harbour persons being subject to modern slavery operations.


Training

To ensure a good understanding of the risks of modern slavery, human trafficking and illegal workers in our business and supply chains, the company requires all employees to attend a short training presentation within the first 2 months of employment and the company will remind and support it's staff at least annually with process procedures and policy updates.


Policy

N4 Gas Limited is committed to ensuring that there is no modern slavery, human trafficking or illegal workers in our business or our supply chains. This statement affirms our intention to act ethically in our business relationships.


Illegal Workers

N4 Gas Limited carry out appropriate VISA, Passport and DOB checks to ensure all employees are entitled to work in the UK in accordance with Sections 15 to 25 of the Immigration, Asylum & Nationality Act 2006. Should a non-UK resident apply to work with us, as identified by pre-employment screening questions, a copy of their work visa and passport would be required. All necessary checks would then be made to ensure the person had the right to work in the UK and they have no immigration restrictions that prevent them from doing the work in question.

Should a potential employees’ right to work in the UK be on a temporary basis, additional checks will be carried out to ensure that their documents have been renewed prior to them commencing employment to prevent a situation where their working rights would expire during their period of employment. All related verified documentation shall be copied and retained for a minimum of 2 years after the individual has ceased employment with N4 Gas Limited.


Reducing our Risk through Employment

In regard to reducing our exposure to risk from within our own company, N4 Gas Limited shall ensure that the following actions will always be implemented when handling matters of our own staff.

  • We will only make payments for work through recognised banking systems.
  • Payments will only be submitted to named bank accounts which match the name of the person carrying out the work. No "agency" or "business" accounts will be furnished with personal wages of staff.
  • All persons joining the company and from time to time will be required to identify themselves through official documentation (Driving license, passport, etc) - The company may make a copy of such documentation, however documents shall be returned to the individual immediately upon verification.
  • The company will not hold any training, certification or other official documentation of any employee without due reason and agreement that said documentation shall be released immediately upon request.
  • Any requests to work additional hours, adjustment of shift patterns or variation of working arrangements shall only be considered when made or discussed directly by the person(s) being affected with the change(s).

Identification of Modern Slavery

We have operatives and members of staff that undertake work in many varied venues, including business and residential that do not make up our supply chain.  As a company, we shall support any person(s) that we may encounter to which our operatives believe may be under the influence of trafficking or slavery whether reported to us or not.

Operatives undertaking work in locations where a person(s) is believed to be at risk of slavery or trafficking shall report such instances immediately to a member of the senior management team who will assess the provided information and pass such information as evidence to an appropriate agency.

N4 Gas Limited will support it's staff and provide training in regard to the identification of modern slavery and human trafficking.


Due Diligence Processes for Slavery and Human Trafficking

N4 Gas Limited undertakes due diligence when considering taking on new suppliers, and regularly reviews its existing suppliers. The company’s due diligence process includes the building of long-standing relationships with suppliers and making clear our expectations of business partners, evaluating the modern slavery and human trafficking risks of each new supplier &/or invoking sanctions against suppliers that fail to improve their performance in line with our policies, including the termination of the business relationship.

Policy Review

This Modern Slavery and Illegal Workers Policy will be regularly reviewed and updated as necessary. The company director endorses this policy statement and is fully committed to its implementation.
